The following steps will let you set-up an MFA app on your phone which will generate numerical codes that you can enter when required while logging in. These apps are very small and take up very little space on your phone. They also don’t use any of your mobile network data, the numbers are generated offline mathematically on your phone.

N.B. You must use a computer as well as a phone while you follow these steps, you will be given a QR barcode on the screen to scan with your phone.

The short version of these instructions are:

1. Log into the MFA setup page https://aka.ms/setupmfa

2. Download an MFA app. Search for Microsoft Authenticator in the app store or use an alternative authenticator app.

3. Choose Add Other Account in the Authenticator app and scan the QR code

4. Put the code it generates into the box on Outlook and click verify *If you don't do this last step it won't work and you will have to start again*




1. How to install an authenticator app

There are many different authenticator apps on the App Store for IOS devices and the Play Store for Android devices. You may already have one on your phone for a different service that you log into. The way Office 365 generates these codes uses an open standard so all these apps work the same way. Some MFA apps include Google Authenticator, Authy, and Microsoft Authenticator. The following screenshots will be done on Microsoft Authenticator on an Android phone, but the steps will be similar with other apps and on an IOS device.

Search for Microsoft Authenticator in your App Store and click install.


2. Log into your account on a PC to get the MFA code

The first time you log into your account you will be prompted to set-up MFA. You can log into your emails at https://aka.ms/setupmfa

Enter your RNCM email address and password.

You will then get to a box that says More Information Required. Click Next


Click Set up

You’ll then get a code you can scan.


Open Authenticator on your phone. Click Skip until you get to the Add Account Screen (the security settings of the app won’t let me take screenshots). Click Add Account > Other Account > Scan the QR code

You will then have the app generating a code on your phone. It generates a new code every 30 seconds.

3. Verify the code

This step is important. If you don’t verify the code MFA won’t work and you’ll have to start again.

Back on your PC, click Next > Click Next Again > Enter the code from your phone into the box and click verify.
